Policies & Procedures

Registration
A non-refundable fee of $20.00 per person or $30.00 per family is required yearly at time of registration. Registration fees assist with recital and administrative expenses.

Payment & Fees
All music courses are $20.00 per class, paid monthly or quarterly. Tuition is due on the 1st day of each quarter and late after the 7th day. Tuition may be paid either in a lump sum quarterly payment, or monthly payments by submitting (3) post-dated checks dated for the 1st of each month in the quarter. (Ex… Jan. 1st, Feb. 1st, March 1st). Monthly payments can also be made monthly by using your credit or debit cards. Sorry, we do not accept cash.

Payments received after the 7th of the month will be assessed a late fee of $10.00. All NSF checks will be charged a $20.00 NSF fee in addition to the late charges. NSF checks will not be re-deposited.

Withdrawals
A newly enrolled student must attend at least one month of lessons before requesting a withdrawal. A 2-week notice is required of all withdrawals. An official withdrawal form must be completed before any refunds can be distributed.

Missed Lessons (Absence)
It is the school’s policy not to provide make up lessons because it interferes with the regular scheduling of classes. When a student misses a lesson he or she still has to pay for it. However, if a student misses a lesson due to illness that requires a visit to a doctor or any medical facility he/she will be granted a credit for that lesson as long as a doctor’s excuse is submitted. Routine colds, headaches, etc that do not require a doctor’s visit will not be credited.

Regular and routine school activities such as sport activities, school concerts, and field trips do not qualify for credits.

If the instructor is absent, a substitute teacher will be provided. If no substitute is available, the student will be given a credit for that lesson.

Leave of Absence (LOA)
When a student requests a leave of absence he/she must complete a LOA form and his/her name will be removed from the schedule board. A LOA is granted for up to 30 days. If the student returns to music lessons within 30 days he/she will not have to pay a new registration fee. If the student does not return within 30 days, it will be considered a withdrawal and the student will then have to pay a new $20.00 registration fee whenever he/she returns.

To keep your name and time slot on the schedule while taking a LOA, you must pay the tuition for the month that you will be on leave. That money will be retained as a deposit and used for your tuition when you return.

Vacations
Students may use two lesson days as vacation time between June 1st and Labor Day. A vacation request form should be submitted to the office before the vacation begins. All credits given for vacations days will be deducted from your tuition in the next quarter.

Vacation requests submitted during or after a vacation has been taken will not be honored.

Credit for Approved Music Activities
Credits are granted for the following events only: Rehearsals, performances or tours associated with the Magic City Boys & Girls Choir, which is a division of Magic City Music Academy. The annual All-City Music Festival for city and county schools.

Music Recitals
The main music recitals are held twice a year during the spring/summer and at Christmas time. Quarterly recitals are held at the end of each quarter in our lobby (every three months).

Conferences
Parents, instructors, and management staff have the right to call a conference with one another if there is a problem or situation that needs clarification or resolution. You may arrange a conference by calling Joe Jenkins, Director at 786-4480 or 585-4480.
